Overcoming Challenges in Scaling Up Digitization Projects During the Pandemic
(Association of Moving Image Archivists, 2021-04-15) Pike, Robin C.; McClanahan, Pamela
The University of Maryland Libraries received a National Endowment for the Humanities grant in 2019 to digitize the Dance Exchange collection, a video collection of performances and rehearsals and their corresponding paper programs. This paper will discuss a brief history of the project and content, best practice technical standards implemented by the Libraries and expanded for this project, scaling up workflows built to handle a project of a few hundred items to a project of over 1,100 items, changing digitization workflows due to pandemic closures and the need to move the project work remotely, and a repository and digital preservation archive migration that occurred during the course of the project. The report will share how we overcame challenges and will implement the changes we made to future av digitization projects.

Digital Conversion and Media Reformatting: Management and Production of Digital Collections
    (2014-03-20) Pike, Robin C.
The Digital Conversion and Media Reformatting plan was written in 2012 and revised 2013-2014, as a five-year plan for the newly established department at the University of Maryland Libraries under the Digital Systems and Stewardship Division. The plan focuses on increasing digitization production, both in-house and through vendors, and creates a model for the management of this production.

    Managing Digitization Priorities with Metrics
    (2016-04-15) Pike, Robin C.
This presentation was one of four during a Mid-Atlantic Regional Archives Conference presentation on April 15, 2016. Digitization of collections can help to improve internal workflows, make materials more accessible, and create new and engaging relationships with users. Laurie Gemmill Arp will discuss the LYRASIS Digitization Collaborative, created to assist institutions with their digitization needs, and how it has worked to help institutions increase connections with users. Robin Pike from the University of Maryland will discuss how they factor requests for access into selection for digitization and how they track the use of digitized materials. Laura Drake Davis of James Madison University will discuss the establishment of a formal digitization program, its impact on users, and the resulting increased use of their collections. Linda Tompkins-Baldwin will discuss Digital Maryland’s partnership with the Digital Public Library of America to provide access to archives held by institutions without a digitization program.

Patron-Driven Digitization on a Dime: Collaborative, Affordable Approaches using ILLiad & Aeon
    (2016-03-16) Thompson, Hilary
Inspired by the implementation of Aeon in Summer 2014, the Interlibrary Loan Services (ILL) unit at the University of Maryland Libraries sought to more actively contribute to the organization’s goal of expanding digitization. We used the Aeon implementation as an opportunity to build upon, and integrate with, existing workflows across the Libraries’ three divisions, enabling ILL to contribute to digitization efforts in meaningful yet manageable ways. We first partnered with Special Collections & University Archives (SCUA) and Digital Conversion & Media Reformatting (DCMR) to digitize university publications and public domain items held in Special Collections through the ILLiad-Aeon photoduplication workflow, then began using ILLiad data to identify public domain items requested from the general collection for outsourced digitization though the Libraries’ Digitization Initiatives Committee proposal process, with both methods resulting in upload to the Internet Archive. For each digitization method this poster will present the workflow; describe the partnerships involved; provide time and cost estimates; and analyze usage of files to determine impact of these efforts.

“Is This Enough?” Digitizing Liz Lerman Dance Exchange Archives Media
(2015-07-16) Parker, Bria; Pike, Robin C.; Novara, Vincent, J.
Special Collections in Performing Arts (SCPA) at University of Maryland Libraries collects performing arts materials that preserve performance practice, instruction, and scholarship, including the full scope of audiovisual (AV) formats. The Liz Lerman Dance Exchange Archives at SCPA contains, among common print archival materials, a significant number of AV materials including performances, workshops, and choreography demonstrations. This collection of AV materials is exemplar of the numerous challenges facing AV digitization and preservation projects in university libraries and archives. The collection poses several metadata challenges as metadata standards and best practices for video materials lag behind those for audio and text materials. Additionally, archival collections are often not described to the item level, but in digitization projects, item level metadata is frequently expected to aid in discovery. Likewise, there are technical and personnel challenges in working with a vendor in creating a contract, negotiating the statement of work, scheduling the project, and gaining the staff necessary to support a new project or digitization initiative within a subject area. All of these issues cause angst and uncertainty when making decisions, at times leaving us wondering: “Are we doing enough?” In our presentation, we will outline the decisions we made for this project, our ultimate workflow, and our lessons learned moving forward.
